Qualifications:

  • Master’s degree, or graduate studies in Business, Project Management, Management, Administration, Computer Sciences, Information Systems, Leadership. Emphasis in studies around project and business processes. We will consider applicants who are in process with their Master’s degree.
  • Five years proven experience leading and supervising staff and applying collective agreements.

Suggested Additional Qualifications:

  • Database management, systems management, project management experience and credentials. Ability to utilize effective communication, problem-solving, and analytical skills, to lead and motivate individuals to work cohesively in a team environment and a Class five driver’s license.

Job Description

Title:  Registrar

Department:  Student Services

Purpose: Reporting to the Dean, Student Services, the Registrar is the official authorized keeper of Northern Lakes College student records. S/he provides leadership to the student records and registration departments through: strategic planning; collaboration and teamwork; effective management of the operation and data collections for credit courses/programs utilizing process and technologies in support of enrollment management targets; development and implementation of effective business practices, procedures and regulations; and representation internally and externally regarding matters related to the Office of the Registrar.

Duties and Responsibilities:

  • Responsible for the management and supervision of the operations of the admissions and credit/non-credit registration, articulation and assessment services, and public information service.
  • Oversee the creation and maintenance of student records to ensure that quality information is collected, maintained and in compliance via the following:
    • Agresso audits and compliance
    • Docushare and workflow
    • DCARS Ministry of Advanced Education
    • Apprenticeship and Industry Training
    • Provincial Regulatory bodies associated with program accreditation
    • PASI-Prep, Ministry of Education
    • PAPRS support Ministry of Advanced Education
    • Canada Immigration Designated Learning Institute requirements
    • Prior Learning Assessment, Transfer, and Advanced Standing
    • Freedom of Information and Privacy legislation
    • All other legislation related to the Office of the Registrar
  • Strategic enrolment management
  • Manage the information sharing among front-line staff and to the public about College programs, services and Registrar procedures
  • Provide oversight for regional call-centre
  • Manage the process of tracking inquiries and admitting students to the College
  • Implement and monitor College policies, procedures and regulations as they relate to the Office of the Registrar
  • Annually prepare, implement and evaluate a strategic plan
  • Work within the provision of NLC’s Delegation of Authority

  • Develop strategic initiatives in collaboration with programs and other service areas, in order to improve and simplify student services for academic progress and an outstanding student experience
  • Ensure the implementation of effective communications strategies for students regarding academic issues to facilitate their academic progress
  • Study best practices, recommend and implement strategies using new technologies to streamline services and student information systems
  • Consider all student complaints regarding admissions and registrations and set up appropriate processes for resolution
  • Utilize workflow processes associated with enterprise content management
  • Collect and maintain quality program and course/program offering information
  • Provide student reports that are valid, reliable and readable
  • Ensure data is audited for integrity and validity
  • Establish and monitor reports for use by programs and administrators
  • Utilize appropriate information systems in support of comprehensive enrolment management (not limited to):
  • Master Program Plans and Master Course Listing
  • Agresso
  • Campus Alberta – Ecampus
  • Apprenticeship Industry and Training – Mytradesecrets
  • Alberta Council on Admissions and Transfer

  • Dual Credit
  • Provide accreditation verifications, records of collaborative agreements and historical records of offerings and guidelines
  • Keep accurate College records of transferability
  • Validate list of College completers (both goal and parchment completers)
  • Keep accurate historical database of approved course outlines and program records
  • Support outcomes related to student financials
  • Provide collaboration for Student Awards and Convocations including the management of tuition bursaries
  • Keep accurate records with regards to student sponsorship information and reporting requirements
  • Liaise with Finance Services regarding student fees and accounts receivable
  • Validate enrollment for funding sponsors
  • Facilitate collaboration and teamwork within and on behalf of the Office of the Registrar
  • Develop administrative procedures for the units as required
  • Plan, organize and coordinate on-boarding and training of employees under direct supervision.
  • Conduct performance appraisals in accordance with standard practice and collective agreements.
  • Manage and allocate workload when necessary and help define priorities
  • Provide coaching and mentoring to staff

Skills/Knowledge:

  • Expected to handle multiple responsibilities
  • Solve complex problems and ensure that systems and processes meet service expectations and strategic goals for admissions and registrations including but not limited interpreting and implementing policies, procedures, regulations and best practices
  • Support an environment conducive to teamwork, collaboration and information sharing
  • Knowledge and awareness of the operation of a post-secondary institution
  • Experience with Student Information Systems and the ability to develop processes and utilize technology to increase efficiencies.
  • Familiarity with essential legislative requirements related to the Registrar’s Office
  • Comprehensive knowledge of the Registrar’s Office process from recruitment to graduation
  • Experience in project management and process improvements
  • Experience in developing, implementing, and evaluating training plans
  • Utilize effective communication, problem-solving, and analytical skills, to lead and motivate individuals to work cohesively in a team environment,
  • Understand and represent the position and priorities of the Registrar

Contacts (Internal and External):

Internal contacts: Students, faculty and staff at all levels typically results in decisions being made or changes in procedures. Collaborates with Information Technology, Finance Services, and other key resources for the Registrar’s Office regarding best practices

External contacts: Parents, general public, prospective students, governments (federal and provincial) and related agencies, professional bodies, contracted partners, post-secondary institutions, high schools.
