Required Qualifications:

  • The successful candidate must possess a college certificate in Office or Business Administration;
  • Two to five years’ experience working in a related occupation, preferably within an educational institution;
  • Proven ability to effectively communicate;
  • Strong computer skills in Microsoft Office (Word, Excel, Outlook);
  • Excellent client service and organizational skills;
  • Ability to work in a fast paced environment;
  • Valid Class 5 Driver’s license.

Job Description:

Administrative Assistant, Fund Development

Title: Administrative Assistant to Fund Development Manager

Department: External Relations

Function: .5 Position

Perform all administrative duties supporting Fund Development Manager, and directly reporting to the Fund Development Manager.

Duties and Responsibilities:

  • Develop agenda and minutes for all meetings.
  • Book rooms for attending committee members.
    • Report on all Funding meetings and follow up action items.
    • Booking all conference space, and logistics.
    • Distribution of all minutes and agenda items.
  • Confirm all meetings with Donors and Fund Opportunities
  • Review and follow up on all CEC minutes with Access Facilitator (AF).
  • Develop and maintain a list of corporate clients and opportunities to create a relationship Maintain contact information list
  • Update all budget requirements
    • Financial record keeping in Prodon including Invoicing, Receipts
    • Financial record keeping of all Awards and Letters
    • Purchase items for meetings and gifts for donors
    • Financial Reconciliation
  • Maintain and track the status of action items required for Fund Development
  • Identify new process and procedures.
  • Booking of travel for Fund Development Manager.
  • File management.
  • Order supplies for meetings.
  • Assist with organization of Special Events
  • Promote College programs.

Skills/Knowledge

  • Strong interpersonal and communication skills;
  • High level of proficiency using Microsoft Office suite, especially, Word, Excel, Outlook;
  • Strong organizational skills and ability to set priorities and manage time effectively;
  • Excellent client service and public relations skills;
  • Strong administrative skills and knowledge of software used at the College;
  • High degree of professionalism, discretion and confidentiality.

Qualifications:
