Qualifications:

  • Diploma or Degree in Business Administration or STEM discipline with one year of relevant professional experience in an Agile / Lean project environment.

Additional Responsibilities:

  • Occasional evening and weekend work to meet deadlines;
  • Sitting for extended periods of time;
  • Dexterity of hands and fingers to operate a computer keyboard or mouse, and to handle other computer components;
  • Occasional travel between College campuses will be required;
  • Clean criminal record check prior to commencement.

Title:
Project Management Assistant

Department:

Major Job Function:
The Project Management Assistant role is responsible for ensuring consistent flow of current, accurate, and usable status and governance information about projects between various stakeholders involved in such projects.

The Project Management Assistant is responsible for maintaining a project portfolio dashboard with accurate performance metrics related to the various project streams using information obtained from various stakeholders.

  • resource allocation status and availability forecasts based on vacations, managerial input and other data;
  • overall schedule for projects and key milestones;
  • scrum metrics such as burndown charts, story points and key deliverables, and team velocity;
  • actuals vs. budgeted expenditures and operational and capital cost allocations.

Duties and Responsibilities:

Strategy & Planning

  • Reporting on status of existing projects
  • Forecasting available resource capacity and budget
  • Attendance and follow up at relevant committee and working group meetings
  • Keeping key stakeholders up-to date on major updates to schedules, estimates or deliverables

Tactical / Operational Responsibilities

  • Timely collection and consolidation of data from various stakeholders
  • Validation of portfolio-level reports for accuracy before publication
  • Reporting of any unresolved exceptions or ambiguities to the Chief Information Officer
  • Ensuring that various Scrum backlogs, burn-up and burn-down charts are kept updated
  • Follow up on open project items with vendors and other external partners
  • Occasional support and orientation for users on agile process and project tools used at the College
  • Strong customer service orientation.
  • Analytical and problem-solving.
  • Effectively prioritize and execute tasks in a high-pressure environment.
  • Preparing verbal and written reports.
  • Conduct research into project products as required.
  • Present ideas in business-friendly and user-friendly language.
  • Keen attention to detail is a key factor in this position
  • Work within a team environment.

Skills/Knowledge

  • Using Agile, Lean / Six Sigma and Project Management fundamentals.
  • Strong Office 365 and Excel knowledge.
  • Work with the functioning of a Project Management Office and the facilitation of Steering Committees and Working Groups.
