Qualifications:

  • College Certificate in Office or Business Administration, or 1-year certificate in related field, or equivalent;
  • A minimum of two years of experience within an office or educational environment requiring similar duties;
  • Capable of learning and using new technologies;
  • Strong listening and communication skills;
  • Training in and experience with databases is an asset;
  • Ability to manage multiple projects simultaneously;
  • Works well independently and as a team member;
  • Applicants with an equivalent combination of education, training, and experience may also be considered.

Position Description

Enrollment Services Support, Registrar, Learner Services

Nature and Scope of Work

This position will work closely with the Administrator, Enrollment Services and report to the Registrar, Learner Services, providing support for the operations, reporting, and integrity for student information and its integrated systems. The incumbent provides a full range of timely and confidential support and related services including liaison and point of contact to internal and external stakeholders, organizing and documenting meetings, overseeing the management of documents and files, both electronic and hard copy, and assisting with high quality documents, reports, submissions and related material, to support office activities.  It is expected the incumbent has a genuine appreciation for and understanding of protocol, discretion and professionalism. With the support of the Administrator, Enrollment Services, it is expected that the incumbent will retrieve and interpret information to make recommendations in accordance with prescribed procedures and practices of the organization.

Duties and Responsibilities

Ensure Integrity of the Student Information System:

  • Assist with moving students from accepted to registered – actively monitor payments to ensure student status is up-to-date.
  • Assist with section reassignments for programs with multiple course offerings.
  • Daily Alberta Student Number (ASN) maintenance – some contact with new applicants may be required.
  • ASN Reconciliation for Application Submission Initiative (ASI) report and Learner and Enrollment Reporting System (LERS).
  • Contact students as needed to reconcile ASN and to assist with outstanding accounts.
  • Assist with Statement of Marks and GPA retrieval for academic letters.
  • Assist with service offering building as required.
  • Verifying completers.
  • Providing general support as required.

Administrative Support

  • Maintain the image of the Registrar’s Office by ensuring that all correspondence adheres to a consistent and professional standard.
  • Organize and maintain paper and electronic filing systems, including maintenance of electronic distribution and contact lists.
  • Maintain confidentiality of the Registrar’s office.
  • At times, support meetings by organizing the agenda, recording, typing, and distributing minutes.
  • Proofread/audit approved fee schedule, PDF finalized fee schedules and post to web
  • Website updates, as needed.
  • Occasional switchboard duties.
  • Basic Master Program Plan (MPP) updates.
  • Assist in creating materials for training documents, such as workshops and handouts
  • Record workflows as needed.

Supporting Duties

  • Ensure that policies, procedures, regulations, and processes are applied to students fairly and consistently.
  • Comply with policy, procedures, regulations, and processes, recommending
  • improvements for issues management.
  • Communicate and collaborate with program departments, student data needs
  • to help meet enrollment management goals.
  • Ensure integrated systems are aligned and support student enrollment reporting requirements.

Contacting and reporting for internal and external stakeholders

  • Updating Learner Income Support (LISO) Database prior to reconciliation reports being completed by the Administrator, Enrollment Services.
  • Contacting program areas as needed, for example, when final marks are missing in the Student Information System.
  • Gathering data and proof reading, as needed to assist with Convocation in the spring.
  • Ensure internal audits are returned in a timely fashion and all information required for mandatory government reporting is correct and reflected in the SIS prior to report submissions.

Representative of the Registrar’s Office to students, faculty and staff

  • Manage enquiries and determine appropriate support.
  • Other duties as assigned.

Knowledge, Skills and Abilities

This position requires a high level of expertise in all areas of office practice and procedures and an exceptional ability to communicate, both orally and in writing, and to provide service to stakeholders in a professional office setting.  Specific required knowledge and skills include:

Technical Skills:

  • Good level competence with MS Office programs.
  • Knowledge of databases is an asset.
  • Ability to learn new technologies quickly.

Time Management Skills:

  • Manage time effectively especially with respect to project completion

Editing Skills:

  • High standard of technical writing, editing and layout skills
  • Excellent grammar and proofreading skills
  • Ability to prepare reports neatly and accurately
  • Good keyboarding skills

Interpersonal Communication Skills:

  • Works effectively with groups and individuals
  • Works well both independently and as a team member with minimal supervision
  • Effectively manages time and can prioritize projects
  • Maintains a professional and confidential standard in all aspects of the position
