Qualifications:  

  • A certificate in Office Administration or Business Administration, preferred;
  • A minimum of two years’ Office Administration experience, preferred;
  • Experience should include Microsoft Office, Outlook and Teams.
  • A combination of work experience, training and education may be considered.

Successful candidate must provide University or College Transcripts to Human Resources prior to commencement.

Position Description

Title: Administrative Assistant, Chair, Human Services and University Studies

Department: Learner Services

Major Job Function:

Reporting to the Chair, Human Services and University Studies, this incumbent is responsible to provide administrative support to the Human Services and University Studies programs and other programs under the direction of the Chair as required. Responsibilities include: coding invoices for payment, scheduling, assistance to Human Services and University Studies faculty, purchasing and general office services.

Duties and Responsibilities:

  • Direct calls to the appropriate staff.  Must know the duties of others in College.
  • Acquisition of supplies for program areas.  This includes preparing purchase orders, ordering and distributing supplies.  Keeping an inventory of basic office supplies.
  • Properly code invoices for signature.
  • Filing information in a manner consistent with the College Records Management procedures. Ensure confidentiality of all documents.
  • Answer basic inquiries from staff, students, and the public. This is done in person, on the phone or by email.
  • Entering and retrieving information from the Student Information database.
  • Input updates to Master Program Plans.
  • Sort and properly distribute mail.
  • Record and distribute minutes from meetings. Types of meetings include staff meetings and those required by the Chair.
  • Liaise with Finance department to reconcile invoices.

Skills / Knowledge:

  • Excellent communication skills, both verbal and written
  • Time management skills.
  • Good computer knowledge; particularly MS Office, email.
  • Attention to detail
