  • Two-year diploma in related field: Business, Project Management, Human Resources;

Job Description

Title:  Administrator, Enrollment Services

Department:  Office of the Registrar, Student Services

Purpose: The Administrator, Enrollment Services provides administration and support for the operations, reporting, integrity for, and training of, student information and its integrated systems.

Duties and Responsibilities:

Guide the student records policies, procedures and processes to support enrollment management

  1. Ensure that policies, procedures and processes are applied to students fairly and consistently
  2. Interpret and apply policies, procedures and processes as it relates to system integrity and the direction of records activities
  3. Comply with policy, procedures and processes and recommend improvements for issues management
  4. Communicate and collaborate with program departments, student data needs to help meet enrollment management goals
  5. Ensure integrated systems are aligned and support student enrollment for both internal and external reporting requirements

Ensure the integrity of the data in the student records system

  1. Validate the integration of student data across platforms
  2. Uphold the integrity of processes and workflows
  3. Audit data for conflicts and provide resolutions
  4. Verify data inputs for learner academic record outcomes

Authorized compliance officer for internal and external requirements

  1. Conduct audit processes for data validation and integrity
  2. Provide system data outcomes to meet internal and external reporting
  3. Recommend systems improvements to reduce data anomalies/exceptions and gaps
  4. Support alignment of internal data system for Ministry data objectives and student information outcomes

Lead trainer for system processes and client relations

  1. Act as the lead trainer for the implementation of best practices for student systems support staff
  2. Provide mentorship in establishing a high standard for client relations and system integrity
  3. Recommend training requirements for student system support staff in relation to strategic objectives and outcomes

Provide student system data analysis and recommendations

  1. Validate strategic enrollment management metrics against system data outcomes
  2. Recommend and alert the strategic enrollment management committee of trends and approaches to metrics
  3. Collaborate with institutional research to provide consistency in enrollment management reporting

Representative of the Registrar’s Office to students, faculty and staff

  1. Manage enquiries and determine appropriate support
  2. Accountable for executing the Registrar’s Office priorities


  • Expected to handle multiple responsibilities
  • Solve complex problems and ensure that systems and processes meet service expectations for enrollment management
  • Contribute to teamwork, collaboration and information sharing
  • Knowledge and awareness of the operation of a post-secondary institution
  • Experience with database systems and the ability to develop processes and utilize technology to increase efficiencies.
  • Experience in process improvements


Internal contacts: Students, faculty and staff at all levels for the acquisition and distribution of data in support of enrollment management. Collaborates with Information Technology, Finance Services, and other key resources for the Registrar’s Office regarding best practices

External contacts: Parents, general public, prospective students, governments (federal and provincial) and related agencies, professional bodies, contracted partners, post-secondary institutions, high schools. Primary responsibilities related to compliance of external reports.
