Qualifications:

  • Minimum of a 2-year diploma in Project Management; Business Administration or related fields;
  • Two to three years of proven experience coordinating projects including budgets, processes and reports;
  • A combination of education and experience may be considered;
  • Advanced knowledge of Microsoft Office;
  • Excellent time management, organizational and analytical skills;
  • Excellent interpersonal communication skills;
  • Class 5 drivers license and willingness to travel.

Successful candidate must provide College or University transcripts, proof of Covid 19 Vaccination, negative PCR test within the past 72 hours or an approved exemption to Human Resources prior to commencement.

Position Description

Administrator, Student Mental Health

Nature and Scope of Work

The incumbent will be a member of the Student Success team, reporting to the Chair, Student Success.  Responsibilities include: assisting in the initiation, and maintenance of projects and initiatives related to the Post-Secondary Student Mental Health Grant, inclusive of making recommendations on budgets, project direction, contact with third-parties, tracking and reporting.  Additional duties will include creating and facilitating project processes and reporting formats.  The ability to work independently, with minimal supervision, and in a team environment are key elements of this position.  It is essential that this individual is open to change, able to determine priorities and has excellent time management skills.

Duties and Responsibilities:

Project Management Skills

  1. In collaboration with team members, works to define and refine approved projects/initiatives, estimates time and resources and creates project time lines in collaboration with team members.
  2. Creates task analysis worksheets, flow charts, and deliverable schedules.
  3. Assists Dean, Student Success and Chair, Student Success in creating a reporting system, monitoring budgets and project time lines.
  4. Creates and maintains paper and electronic files for each project and initiative.

Communication Skills

  1. Reports progress of projects to department Dean and Chair, team members and contractors through e-mail or phone, as appropriate.
  2. Maintains an open communication process that ensures project challenges are identified, processed and acted on.
  3. Participates in team meetings as a key member.
  4. Liaise regularly with department Dean and Chair as well as Counselling and Wellness team members on the status of the Post-Secondary Mental Health Grant projects and initiatives.
  5. Communicates with key stakeholders and third-party vendors related to projects and initiatives.

Organizational Skills

  1. Coordinates, independently and with little supervision, project management processes.
  2. Ensures meeting workload obligations according to project management timelines.
  3. Coordinates multiple projects at one time, balancing competing priorities.
  4. Creates processes, forms and reports relating to project management tasks.
  5. Applies organizational skills in creating project management process.

Administration Skills

  1. Proficient with Microsoft Office Programs and keeps current with hardware and software training.
  2. Coordinates correspondence, reports and presentations relating to projects and initiatives including drafting, layout and editing routine correspondence, reports, proposals and presentations.
  3. Initiates correspondence and reports by compiling data for informational purposes.
  4. Schedules all tasks and events associated with projects and initiatives.

Accounting, Budgeting and Contract Skills

  1. Creates revenue/expenditure spreadsheets for each grant project and initiative.
  2. Tracks and reports on each stage of multiple projects/initiatives.
  3. Provides input and information to the Chair, Student Success and/or Dean, Student Success in the creation of quarterly forecast sheets and for preparation of quarterly budgets for projects and initiatives.
  4. Monitors invoices and acquires necessary approvals.
  5. Prepares and maintains forms for multiple contracts.
  6. Prepares costing sheets/templates for negotiating contracts.
  7. Liaises with finance regarding payments and coding.

Other

  1. Contribute to other College priorities as required.
  2. Other duties as directed.

  • Knowledge of strategic planning, and grant application and reporting processes.
