Qualifications:

  • Minimum 1-year certificate in Office Administration or related field.
  • Three or more years’ experience working in an administrative assistant position.
  • Excellent organizational and communication skills
  • Proficiency using Microsoft Office Suite.
  • Ability to manage multiple projects simultaneously.
  • Ability to work independently and in a team environment.
  • Knowledge of Learning Management Systems would be considered an asset
  • A combination of education, training and experience may be considered.
  • Class 5 Driver’s License is an asset.

Successful candidate must provide University or College Transcripts to Human Resources prior to commencement.

Position Description

Administrative Assistant, Dean, Health, Human Services, & University Studies

Nature and Scope of Work

The Administrative Assistant, Dean, Health, Human Services, and University Studies duties include managing and maintaining curriculum projects and contracts; assisting with creating and managing project processes and reporting, proofreading, editing, and formatting curriculum and various documents. Administrative duties include, but are not limited to, recording and transcribing minutes; preparing training and learning material; arranging meetings and preparing high quality documents, reports, and correspondence.

Duties and Responsibilities

Project Management

  • Report on the status of assigned projects to the Centre’s Dean.
  • Proofread, edit, and format curriculum and various documents and letters.
  • Prepare and maintain forms, reports and tracking systems for multiple contracts.
  • Participate in Centre for Teaching and Learning team and curriculum project meetings, and other meetings as required.

Administration

  • Record and transcribe Educational Technology Committee minutes and other meeting minutes, and help prepare agendas and post to Brightspace.
  • Support Health and Human Services program faculty and staff, including room bookings, hotel bookings, and completing required paperwork.
  • Enter student grades, when necessary.
  • Answer e-mails in a timely manner, directing inquires to appropriate team members.
  • Maintain an update to date project list.
  • Order and maintain office supplies including preparing the purchase orders and goods received.
  • Provide support to the Centre for Teaching and Learning, Health and Human Services programs, and Dean, Health, Human Services, and University Studies by email, phone, and in-person as needed.

Accounting, Budgeting and Contract

  • Assist Centre’s Dean in budget preparation.
  • Code invoices and acquire necessary approvals.
  • Gather and code monthly receipts for Dean’s Visa Cardholder Activity.
  • Liaise with finance regarding invoicing and contract payments.

Knowledge, Skills and Abilities

  • Excellent editing skills.
  • Proficient in Microsoft Office programs.

Required Qualifications
