Nature and Scope of Work:
- Reporting to the Manager of Employee and Labour Relations and the Assistant Director of Human Resources, the Human Resources Administrative Assistant is integral to supporting various HR functions and programs. This position involves handling time-sensitive tasks and highly confidential information with discretion and professionalism.
Duties and Responsibilities:
Recruitment Support:
- Track recruitment data and documents on spreadsheets; following up on missing documents as necessary
- Prepares, schedules and organizes meetings for interviews
- Prepares interview package for hiring manager
- Ensures documents are up to date and available for hiring manager
- Assists in onboarding of new employees by providing commencement documents, obtaining signatures for payroll and benefits.
- Assist with criminal record checks and drivers abstracts.
- Assist in updating the recruitment and selection manual as directed by the Manager, Employee and Labour Relations
- Providing back up or assistance within the recruitment unit to ensure timely hiring of positions
- Send out employee announcements and career opportunities
- Posting job opportunities to website and advertisements to agencies when required.
- Assist with the recruitment of the Work Study Program.
- Work as a team with other Human Resources staff to actively promote retention of employees through new employee onboarding and orientation to the College.
Human Resources Support:
- Assist with updating and formatting the appropriate Human Resources policies, procedures, and regulations.
- Assist with salary surveys and compile statistics
- Responsible for ensuring the organizational chart is up to date
- Attending meetings, setup of agenda packages, completion of meeting minutes, and follow-up on action items, when required
- Research other Post-Secondary Institutions or Legislation as requested by the Assistant Director, Human Resources, and/or Manager, Employee and Labour Relations.
- Assist the Assistant Director of Human Resources with day to day operations relating to payroll and benefits.
- If required, assist the Executive Director with negotiations, compiling statistical information, researching legislated regulations (Employment Standards Code), etc.
- Assist the department with paperwork and letters as required.
Administrative Support:
- Reconciliation of accounts including tracking the department expenses, verifying coding, assisting with forecasting, and completing monthly credit card reconciliations.
- Maintain excellent customer services for both internal and external stakeholders.
- Assist with letter writing.
- Process business card requests.
- Records Management
- Preparation/assistance of highly confidential correspondence.
- Responsible for general office duties including answering telephone, ordering supplies, filing, photocopying, incoming and outgoing mail.
- Organize and maintain paper and electronic filing system.
- Coordination of travel arrangements for the department.
- Other related duties as required.

Qualifications:
- The successful candidate must possess a college certificate in Office Administration, Business Administration, or related field.
- 1-3 years of related experience. Experience in a Human Resources environment will be an asset.
- Strong computer skills in MS Office (Word, Excel, Outlook)
- Excellent customer service and organizational skills
- Ability to work in a fast-paced environment
- Must provide a clean criminal record check
- A combination of work experience, training, and education may be considered.
