Executive Assistant, Vice President, Academic
Salary: $65,628 to $86,100 per year

Qualifications:
- College Diploma in Business or Office Administration; a Bachelor’s degree is an asset.
- Strong technical skills with office software.
- Exceptional written, verbal and interpersonal communication skills.
- Human Relation Skills i.e. ability to inspire trust and confidence in relationships with others; the ability to exercise diplomacy when dealing with customers and to provide leadership, organizational and decision-making skills.
- Experience working in a unionized environment.
- Ability to adjust priorities quickly depending on situational needs.
- A combination of experience and training may be considered.
Division: Learners Services
Purpose: This position reports to the Vice President, Academic (VPA) and requires exceptional decision-making skills. Responsibilities include prioritizing tasks, organizing workloads, developing effective lines of communication, managing administrative duties and interacting with college staff and the public. The Executive Assistant must address sensitive issues promptly, maintain a professional image, and ensure confidentiality.
Duties and Responsibilities:
Coordination
- Provides comprehensive support to the VPA, ensuring seamless information flow and efficient management of activities within a dynamic and evolving environment.
- Communicates with the VPA and Deans, handling sensitive information with discretion, sound judgment, and effective problem-solving skills.
- Provides support and coordination for meetings of the Deans, Academic Council and ad hoc committees as required.
- Coordinates the VPA’s calendar and travel arrangements as required.
- Ensures compliance with governing documents regarding file management and retention.
Administration
- Provides expertise, knowledge and assistance to college-wide personnel as requested.
- Assists in organizing and coordinating certain college functions as required.
- Maintains records to monitor special projects, such as the strategic planning process.
- Maintains close working relationships with other departments within the college and provides administrative support when required.
Budget
- Assists in compiling budget information as requested and submits necessary corrections to the finance department to ensure accuracy and completeness.
- Prepares and reviews expense claims, manages visa logs, and processes invoices for the VPA, ensuring accuracy and timely completion.
Liaison
- Disseminates information accurately and promptly from the VPA to the Deans and the college upon request.
- Maintains regular communication with government departments to ensure effective collaboration and information exchange. Tracks deadlines meticulously and ensures accurate information entry when reporting changes in the Provider and Programs Registry System (PAPRS), Teacher Workforce Information System (TWINS), and Provincial Approach to Student Information (PASI) systems.
- Liaise with counterparts at other post-secondary institutions and Ministry personnel to collect data for reports, etc.

Experience:
- Five years’ related experience, preferably in a post-secondary educational setting.
- Familiarity with the college systems, policies, operations and services would be an asset.
- Knowledge of sensitive liaison/public relations protocol.
