Administrative Assistant, Chair, Academic Upgrading and CCEC

Salary: $47,976 to $58,548 per year
Location: Slave Lake

Qualifications:

  • College Certificate in Office or Business Administration, one-year university or equivalency
  • Two to three years of experience within an office or educational environment requiring similar duties
  • High level skills with MS Office 365 including: MSWord, Excel, Access, PowerPoint, and Outlook
  • Excellent communication skills
  • Strong service orientation and excellent customer service skills
  • Ability to work in a complex, multifaceted environment with a variety of responsibilities and deadlines.
  • Team oriented with a friendly, positive, “can-do” attitude
  • A combination of education, training, and experience may be considered

Nature and Scope of Work

The Administrative Assistant, Chair, Academic Upgrading reports to the Chair, Academic Upgrading and the CCEC Executive Secretary. This position is responsible for the direct administrative support to the Chair, the department, and the CCEC. The Administrative Assistant works closely with the team to support all program initiatives at the College. 

Duties and Responsibilities:

Providing administrative functions for the Chair

  • Reception for office
  • Student attendance reports for audits
  • Tracking employee timesheets for wage & sessional employees
  • Order supplies & keeping track of campus budgets
  • Track Employee PD applications
  • Compile queries and data reports
  • Compile site estimates & site requests
  • Updating Master Program Plan entries
  • Process VISA receipts and submit reports
  • Compiling and filing monthly financial reports
  • Tracking and coding expense claims.
  • File management
  • Researching, drafting and tracking documentation as required
  • Compiling student completion reports

Coordinating and providing administrative functions for the department

  • Marks entry in Unit 4 and PASI
  • Primary department contact for PASI related entries: Grades, Diploma Exams, Student List(s), etc.
  • Primary department contact and administrator for Alberta Education virtual testing platform: Vretta.
  • Student attendance & administration
  • Updating student list
  • Updating the program & student handbooks
  • Distribution and collection of Diploma Exams
  • Updating course outline templates
  • Compile Program book estimates & communicating with bookstore for new material
  • Ordering instructor and learner resources

Onsite learner and instructional staff support

  • Student book orders
  • Proctoring exams
  • Assisting with orientation, distributing books

Other Duties as Assigned including:

  • Administrative support for the Council of Community Education Committees (CCEC)
  • Update and maintain CCEC financial records, files, and membership
  • Organize and prepare for meetings CCEC and Community Education Committee (CEC) meetings.
  • Work with CCEC Executive Secretary to ensure effective operation of the CCEC and it’s CEC’s.

This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
