Qualifications:
- Educational Assistant, Office Administration, or Business Administration Certificate;
- Experience working with Microsoft Office 365.
- A combination of education and experience may be considered.
Position Description
Nature and Scope of Work:
The incumbent provides student support in the areas of subject coaching, program support and administration.
Responsibilities include: assisting students, supporting the planning, preparation, delivery and evaluation of instruction and administrative duties. The position reports to a program Chair.
Duties and Responsibilities:
- Assist students in overcoming barriers.
- Ensure students are familiar with the contents of the student handbooks.
- Assist students to resolve academic concerns, provide access to educational and career resources.
- Be accessible to students and encourage students to ask questions and seek educational support. Act as a resource for students experiencing academic problems. Communicate with each student on a regular basis, and encourage peer support activities.
- Support the planning, preparation, delivery, and evaluation of instruction.
- Support students to work with faculty.
- Advise students on administrative matters, e.g. the application, registration and withdrawal processes.
- Provide access to financial support information, e.g. loans, grants and bursaries if required.
- Assist in the delivery of tutorial workshops. Be knowledgeable about course content and expectations. Assist in the creation of an interactive learning environment; ensure ‘tools of learning’ are accessible. Assist students with course assignments, identifying, assisting and monitoring students experiencing difficulties, and communicating learning issues to faculty.
Community Education Committee (CEC) Services
- Record CEC minutes;
- CEC agenda template;
- Contact CEC members for meetings;
- Set up facility for meetings;
- Prepare/disseminate agenda packages;
- Preparing the Student Learning Assistant report;
- Assist with Council of Community Education Committees (CCEC) report.
Administrative Responsibilities
- Proof read curriculum documents, Student Handbooks, and online course materials. Scan and store program documents (e.g. exams, course outlines);
- Distribute student materials;
- Assist with student orientation activities;
- Schedule visiting instructor orientation and support;
- Administer course and college evaluation forms, ensure that appropriate forms are used for application, withdrawals and registrations;
- Assist in supervising exams: ensure exam security, and provide course instructors with a class list;
- Enter student attendance in the Attendance Tracker.
Access Facilitation (AF) duties (where an AF is unavailable)
- Provide front-line client services to the campus including the following: direct individuals to the appropriate person/department, maintain Continuing Education interest lists, provide hosting duties including stocking coffee and water supplies for courses, meetings and special events;
- Provide clients with up-to date course and program information, collect fees for courses and books, provide receipts;
- Provide orientation/troubleshooting for the distance technology, photocopier and computers; make appointment for the Counsellor;
- Assist students to email, print and fax;
- Use systems within the College to track money and participants in Continuing Education courses;
- Register participants for Continuing Education courses, book rooms, vehicles and equipment, maintain vehicle service logs where campus/program has an assigned vehicle, type and distribute CEC minutes, organize space and equipment effectively to meet the needs of clients and staff, act as contact person for self paced training material (e.g. “Making the Grade”);
- Act as the Community Access Point (CAP) Facilitator, and;
- Maintain an up to date collection of education, career and social support information, order pamphlets and resource materials as needed, organize collection for easy access, and maintain list of contact/resource people.
